THE COMPANY:
Our client is a well-established, successful, private client investments company. They are currently recruiting a Team Secretary/Client Manager to join assist the Relationship Manager. This is a boutique organisation that is resilient and continues to grow within its field. 


THE ROLE:
  • Meeting and greeting new  members and visitors
  • Organising diaries and booking in appointments
  • Screening incoming phone calls and emailed enquiries and requests, responding or completing them if appropriate
  • Producing documents, reports and presentations
  • Dealing with incoming email, faxes and post and corresponding on behalf of the Relationship Manager
  • Preparing documentation for meetings
  • Maintaining office systems for the team
  • Ensuring office supplies and stationery are maintained
  • Act as an intermediary between the Members, RMs’ and Technical Advisors’ to action tasks
  • Measure customer satisfaction and assist the RM in improving the Member Integration process
  • Answer and transfer all inbound phone calls in a timely and efficient manner
  • Open, sort and distribute incoming correspondence
  • Conduct a daily housekeeping check of office and meeting rooms
  • Provide cover for the other Team Secretary/Client Manager in the event of their absence
  • Ad hoc duties as and when required
 
THE PERSON:
  • Previous experience in a Team Secretary/Client Manager role
  • Excellent communication skills bith verbal and written
  • Must be confident and able to liaise with clients in a professional manner
  • Understanding the needs of the members and being able to remain patient, calm and polite, even in pressurised situations
  • Able to prioritise workload and complete tasks within required timescale
  • Being flexible and quick thinking
  • Capable of following instructions
  • Must be capable of problem-solving
  • A good team player whilst being able to work on own initiative
  • Being accurate and paying attention to detail, even when under pressure
  • Having good numeracy skills
  • Highly competent in the use of Microsoft Office
  • Excellent organisation skills, being able to prioritise own workload and stick to deadlines
