Our client is a cutting-edge Advertising Agency based in really gorgeous offices in the heart of London.  They are now recruiting a receptionist to join them.

Their Receptionist is responsible for answering the telephone, screening and directing calls at the reception desk. They provide a friendly and welcoming environment to all visitors, ensuring a smart and tidy front of house area where all guests are looked after. In addition, the receptionist assists in the running and upkeep of the office, ordering stationery and keeping everything in order.

Reception

  • Answer the telephone, screen and direct calls, ensuring you are personable and polite at all times and conscious of cold-calling;
  • Take and relay messages, following up in email when people are unavailable;
  • Provide necessary Company information to callers;
  • Manage the phone system to ensure it is always up to date
  • Receive, sort and send post and deliveries through the necessary processes;

Welcoming visitors

  • Meet, greet and attend to the needs of guests at reception;
  • Ensure that the Front of House area is in top condition and looking as clean and neat as possible;
  • Work with the Operations Manager to ensure reception is covered at all times and the office is maintained to a high standard;
  • Alongside the Operations Manager and Company Coordinator, to plan and arrange internal and external company events;
  • Monitor visitor access and maintain security awareness at all times, ensuring knowledge of individuals movements in and out of the agency;

Office tasks

  • Undertake various office tasks alongside the Operations Manager, to include supply management, stationery ordering, office organisation and set-ups, meeting room management and general upkeep of the office space;
  • Ad hoc requests and errands for client meetings and pitches;
  • Liaise with suppliers
  • Maintain office equipment alongside the Operations Manager.
  • Book taxis & couriers whilst adhering to company procedures;

Company Events

  • Weekly drinks and breakfasts for the team
  • Order and set up catering for client meetings and ad-hoc events;

This role will suit a receptionist if you:-

 

  • Love a super-organised schedule and like to work on one project at a time. You’ll be working on several different projects a day and need to be able to focus, multi-task and complete consecutive projects.
  • Expect clear briefs.  We expect you to use your own initiative and creative thinking on projects; pro-actively managing your own decisions.
