Executive Business Assistant - City of London.

Responsibilities.

  • Intense diary management, arranging meetings and conference calls, preparing relevant paperwork and expenses reports
  • Routinely handles internal and external inquiries by screening calls, answering questions, and re-directing to appropriate personnel.
  • Producing professional presentations for high-profile meetings using PowerPoint, including complex and highly confidential projects.
  • Producing professional reports using Word and Excel
  • Typing duties and taking notes in meetings
  • Provide coverage to other Business Assistants as required
  • Involved in maintaining and tracking departmental reports on an ongoing basis (i.e. budgets).
  • Coordinates logistics for more complex meetings/activities, i.e. internal and external meetings, conferences, symposiums, interviews, etc.

Qualifications

  • Previous experience working as a PA is desirable
  • Business experience is beneficial
  • Confident and articulate
  • Polished presentation
  • Flexible and adaptable approach to work
  • Must be able to self-direct and work effectively with others at all levels of an organisation with team members, senior leaders, executive management and clients
  • Ability to work well under pressure
  • Ability to multitask
  • Team player
  • Experience in managing calendars for teams in different time zones in desirable
  • Capability to use initiative
  • Advanced Microsoft Office Word, Excel, PowerPoint and Outlook is beneficial
  • Strong communication skills
  • Demonstrate confidentiality, good business judgment, diplomacy and flexibility in relation to work hours during busy periods
