Main Responsibilites:
•    Extensive Outlook, Calendar and Email Management
•    Booking flights, hotels, arranging transfers to and from airports and preparing Itineraries
•    Arranging international conference calls and meetings etc.
•    Registering for internal/external conferences, add information to Outlook calendar 
•    Maintaining Holiday/Sickness log/Expenses
•    Board Papers: Typing, amending and collating on an ad hoc basis
•    Presentations: Typing, amending and updating
•    Legal Contracts: Add to internal Legal Courier Log, collate and provide to Company Secretary for Board Packs and file Contracts in Safe
•    Company Secretarial: Email Report request each quarter, print off Reports, collate the Board Pack, email to directors for perusal; supply hard copy of Board Pack on request; liaise with Notary Public where required for notarization and apostilled documents – on an ad hoc basis
•    Organising approvals for monthly bills
•    Assist various PineBridge Team Members when visiting London: security passes, office space, phone and IT support
•    Photocopying, scanning and printing as requested
•    Filing and document management (both hard and soft copies)
•    Archiving: Both email and via external company
•    Liaise with IT: Problems/issues with equipment and video conference set up
•    Any other ad hoc admin duties including expenses, couriers and stationery
•    Providing full PA and admin support to Compliance

PERSON SPECIFICATION
(Required skills, experience, qualifications, etc.)

•    Experience in a similar role within a corporate legal environment
•    Excellent Microsoft Office skills, i.e. Word, Excel, PowerPoint, Visio and Adobe professional
•    Knowledge of Intranet
•    Good time management essential
•    Be able to meet deadlines
•    Team Player
•    Excellent communication skills on all levels
•    Proven interpersonal skills
•    Flexible approach to work
•    Self-starter/motivated
