THE ROLE:
This role is to be the Executive Assistant to the Senior Partner and work closely with the Central Management team. Duties will include:
- Extensive inbox and diary management
- Working co-operatively with others in the firm at all levels
- Co-ordinating numerous client and internal meetings including preparing the correct documentation
- High volumes of complex international travel arrangements ensuring detailed itineraries are prepared
- Taking responsibility for international visit co-ordination
- Arranging lunches, dinners and other events
- Answering and screening all telephone calls – ensuring accurate messages are taken and passed on in a timely manner
- An important part of the role is co-ordinating with the SP and their family (directly) on personal commitments
- Supporting firm wide administration activities including coordinating the performance review process and induction of new joiners
- Evaluating, collating and presenting inward communications
- Dealing with and filtering incoming communications
- Keeping relevant sections of the intranet and website updated;
- Producing outgoing communications and documents as instructed by the SP
- Developing and maintaining a robust file management system
- Extensive meeting arrangements including accurate follow up is undertaken after all meetings
- Drafting marketing material and undertaking research and other related activities as and when required;
- Building and maintaining good relationships across the Firm's network
- Ensuring that relevant documents are printed, photocopied or scanned as and when required
- Ensuring all timesheets are inputted in a timely fashion
- Assisting the Events team with the organisation of key firm-wide events
- Processing expense claims for the SP
- Providing necessary ad hoc support with on-going projects
- Be available and prepared to contribute towards working out of office hours to a reasonable extent
- Point of contact with the credit control team for the SP.
THE PERSON:
- Previous Executive Assistant experience
- Typing speed of 70 wpm with high accuracy
- Good working knowledge of InterAction
- Able to work well under pressure and stick to deadlines
- Highly competent in the use of Microsoft Office
- Excellent organisation skills, being able to prioritise own workload
- Ensuring that all communications are dealt with in a professional and timely manner
- Must be able to be aware of and understand the priorities of the SP
- Treats people with respect and in a fair and consistent way
- Excellent communication skills including written and verbal
- Identifies opportunities to assist others and readily volunteers their help
- Accurate eye for detail
- Willing to go the extra mile to deliver an outstanding service
