Team Assistant- Demurrage Department
Green Park, London

We are looking for someone to act as Team Assistant/Secretary to the Demurrage department, within one of the largest commodities companies worldwide. This is a diverse and interesting role in a professional environment.
The role would suit an experienced Secretary with good organisational, administrative and communication skills. The candidate must be able to work as part of a team and provide additional secretarial support when necessary. The ability to prioritise and be a forward thinker is a necessity. Computer skills are essential as is a good telephone manner and attention to detail. The candidate must also be methodical, reliable and trustworthy.
Duties include: -
- Team wide diary management
- Extensive and complex inbox management
- Arrange meetings and conferences
- Make restaurant, hotel and taxi reservations
- Liaise with Reception to ensure they are informed of all visitors to the office
- Meet and greet visitors at all levels of seniority
- Ensure that the telephone is answered promptly, with clear concise messages being taken and passed onto the relevant staff member
- Processing invoices and expenses
- Filing important contracts and documents
- Typing letters/ general correspondence and reports as required
- Run a picklist several times a week
- Input claims and calculate deductions and times
- Chase email claims
- Check DHL list that all claims have been received and print confirmation
- Send and distribute team post
- Maintain an accurate record of all holiday and absences
Skills required:

- Good organisational and administrative skills
- Ability to work effectively under pressure and prioritise workload
- Excellent computer and typing skills
- Pleasant manner in dealing with people both on the telephone and in person

- Confidence to clarify instructions received to ensure a good understanding
- Ability to research, digest, analyse and present material clearly and concisely
- Flexible, committed and adaptable approach to work
Education:
- Educated to A-level standard (or equivalent), as a minimum requirement
- Minimum grade B at GSCE (or equivalent) in English and Mathematics
- Diploma (or equivalent) in secretarial skills is desirable
