THE CLIENT:
Our client who are a High End interior design and Architects company based in the sought after area of South Kensington. Looking to hire a Team Assistant to support a small office with all administration duties along with working alongside the current Executive Assistant.
DUTIES:
- Provide PA and administrative support to the Studio, with specific remit to provide support to MD’s PA and ensure administrative processes run smoothly.
- Make complex/detailed travel arrangements for members of the Studio as required
- Support MD’s PA by performing research (travel-related and other), putting together presentations, typing correspondence, etc.
- Provide PA support for directors and senior management
- Together with the Front of House Manager, be responsible for maintaining and updating contact records in Filemaker and exporting contact sheets to the project folders on the main server
- Organisation of hard copy files prior to archiving
- Ensuring archive database is maintained/updated properly
- Agree with Senior Team when old documents can be destroyed
- Point of contact for people wanting to retrieve or send files to archive
- Second point of contact at the reception desk and next in line to answer telephone after FoH Manager
- Second in line for ordering taxis/DHL etc. after FoH Manager
- Cover holiday absences for Front of House Manager and provide PA assistance to MD when his PA is on holiday
- Be first in line to answer incoming calls
- Place orders for any stationery/consumables that can’t wait until FoH Manager returns
- Co-ordinate arrangements for any meetings – lunches, etc.
- Attend a briefing with MD’s PA prior to her departure to be brought up to speed on current projects
- Perform all duties required by MD during PA’s absence
THE PERSON:
- Self-driven with a positive can-do attitude
- Educated to a degree level, preferably in Fine Art or Interior Design
- Detail-focused with the determination to do what is necessary to get the job done
- Reliable, confident and well presented
- Excellent working knowledge of MS Office
- Knowledge of Photoshop and InDesign would be beneficial
