An opportunity has arisen for an ambitious and driven Personal Assistant to join a leading commodities firm based near Liverpool Street Station. This is a wonderful opportunity for someone who has 3-5 years' Personal Assistant experience and is looking for their next challenge. 

Duties include;

Office Management

  •  To be the first point of contact for London office; handling the main phone line, coordinating external guests and internal meetings.
  • Managing the Office Admin inbox daily, answering all internal queries as required
  • Responsibility for coordinating all office maintenance and budgets for internal supplies.
  • Project management for events within the London office.

Personal Assistant

Personal Assistant to a Senior Partner, Head of HR and General Counsel – all based in the London office.

The main responsibilities for each Manager, will be:

  • Extensive diary management and coordination;, approaching scheduling in a proactive manner
  • Assisting with administrative tasks; including filing and documentation preparation
  • Managing databases and keeping information up to date
  • Updating and managing budgets and expenditure where required
  • Attending meetings and conference calls; note taking as needed
  • Assisting with booking travel and accommodation
  • Supporting on various business projects and ad-hoc responsibilities

Requirements:

  • Experience of working in a fast-paced environment in an Office Manager or Personal Assistant capacity is crucial
  • Previous experience in working in a standalone role, where proactivity is imperative, as is previous diary management experience
  • Strong IT knowledge and experience of Microsoft Office (Word, Excel and PowerPoint)
  • Good interpersonal and communication skills, when dealing with people at all levels of seniority
  • To be reliable and discrete when dealing with confidential information
  • To be a quick thinker and detail orientated person
  • The ability to adapt to different scenarios on a frequent basis is important
  • Previous experience of working in Finance or Commodities would be a plus
