EXECUTIVE TEAM ASSISTANT / OFFICE MANAGER

Job Description:
An exciting opportunity has arisen for an Executive Team Assistant / Office Manager to join Britten-Norman Limited. Britten-Norman Limited manufactures, repairs, supports, maintains and sells Islander, Defender and Trislander aircraft. It also provides pilot and other aviation related training for civil and defence customers and specialises in the integration, installation, test and trials of mission equipment for defence and government department clients. The company has recently opened up a new head quarters office in a prime location in London and the successful candidate will have the opportunity to shape the way in which the new office is to be run and managed.
Knowledge, Skills & Experience:
The Executive Team Assistant / Office Manager will be responsible for managing all the day to day duties required for running a successful office environment, providing exceptional administrative and operational support to the CE and Directors, and across the wider team as required.
Key responsibilities include:
- Managing the London Headquarters Office building and facilities matters including liaising with third party suppliers.
- Providing administrative and secretarial support to the Executive Team.
- Preparing and co-ordinating meetings and conference calls, including issuing agendas, assisting with presentations, taking minutes, circulating action logs, chasing actions and arranging refreshments.
- Managing diaries for the CE and Executive Team.
- Managing travel and expenses for the CE and Executive Team.
- General document management and filing, including archiving.
- Managing the company mail.
- Liaising with HR regarding new starter process and general administration.
- Updating the website and social media
The successful candidate will have demonstrable experience of working as an office administrator / PA / secretary within a professional, busy environment. The candidate will be able to work under pressure and to tight deadlines, remain flexible to meet the wider demands of an expanding business and be able to manage and prioritise tasks. They will have outstanding communication skills, both written and spoken and have strong IT skills including good working knowledge of Microsoft Outlook, Word and PowerPoint.
The post holder will have a minimum of 5 GCSEs at grade C or above with at least a grade B Maths and English and have 2 A Level grade C passes (min 160 UCAS points) or equivalent qualifications. University degree or similar level of education would be desirable.
Security:
Any offer of employment will be conditional, subject to the successful completion of the Company’s Security Clearance process. This will be arranged by the Company on the candidate’s behalf.
