THE COMPANY:
Our client is an international university study abroad program with offices based in the West End. They are currently looking to recruit a Receptionist to join their team.


THE ROLE:
  • Providing excellent front of house service
  • Maintain the professional appearance of the front desk and surrounding areas at all times
  • Answer and direct incoming telephone calls in a prompt and professional manner
  • Maintain a professional appearance and demeanour at all times
  • Handle all incoming and outgoing mail and deliveries, distributing post, franking external post and organising couriers
  • Ensure the issuing of all access passes and keys is done in line with security policy
  • Escorting visitors to meet their host or alternatively advise hosts as soon as guests arrive
  • Providing directions and local area information to visitors and stakeholders as required
  • Processing and controlling all room booking requests, ensuring rooms are set up and prepared
  • Report any faults or repairs needed to the Facilities Manager
  • Providing basic AV technical support
  • Manage stationery, catering and other consumables
  • Assist with travel arrangements, conference and hotel bookings for designated visitors
  • Process and control lost property
  • Ensure all rubbish from inside and outside exits is removed and with the aid of the cleaning team ensure all rooms including toilets are clean, tidy and ready for use
  • Actively ensure the security of the premises by performing regular patrols of the interior and perimeter
  • Provide administrative support to the Operations Office as and when required
  • Post to and regularly maintain appropriate shared calendars for
 
THE PERSON:
  • Educated to Degree level or equivalent or experience in a related field
  • Outstanding written and verbal communication
  • Excellent professional communications skills
  • Relevant customer service or hospitality service experience
  • Outstanding attention to detail
  • Professional telephone manner
  • Highly competent in the use of Microsoft Office and the use of shared calendars
  • Outstanding time management and multi-tasking skills
  • Experience of minute taking and preparation of agendas is desired
  • Excellent organisational skills
  • Adaptable and flexible attitude
  • Effective interpersonal skills
  • Discretion when dealing with personal and sensitive information
  • Ability to work as part of a team, but also independently with minimal supervision
  • Able to work effectively under pressure
