FACILITIES CO-ORDINATOR

Our client based in St James’ is looking for a calm and personable Facilities Co-ordinator to join their global financial services company.  The role requires someone who can cope well under pressure as well as having excellent communication and leadership skills.  Ideally, the selected candidate has to have a solid understanding of the Financial Services world, experience in Building Management support roles, and a professional qualification in Facilities Management with Membership of the British Institute of Facilities Manager.

Your duties will include:

  • Being the main point of contact for internal clients for services provided by external sources
  • Working closely with internal clients, consultants, contractors and vendors to make sure all building guidelines are met
  • Managing all regular contractors and vendors, making sure all specifications are met to a specific level
  • Providing all the correct documentation, ensuring it has been approved by the Legal Department and Directors
  • Provide all purchase orders and capital expenditure forms and supply the Financial Department with invoices
  • Organise and attended review meetings with all essential suppliers and contractors
  • Assist with the development of specification and tender documentation
  • Prepare the department’s monthly report by working closely with the Maintenance Manager
  • Assist with the security of the building and being on call outside of office hours
  • Completing all processes and documentation in a timely manner
  • Working closely with the Health and Safety Officer to maintain an up to date database
  • Fielding all fault reports from sub-tenants and internal clients

The selected candidate must have excellent problem solving skills and the ability to make last minute split decisions to then put them into practice.  Having the capability of building relationships and being a strong influencer are essential for this role.
