We are looking for an experienced Personal Assistant (PA)/Executive Assistant (EA) to work with our board at Trinity Mirror’s head office in Canary Wharf. This role will be working in a fast-paced environment where you will need to demonstrate versatility and have a proactive approach to dealing with a variety of business related issues.

Much of the information you will have access to is highly confidential, so tact and discretion is paramount.

Main responsibilities:

  • Diary support for board members
  • Meeting and greeting visitors at all levels of seniority
  • Arranging travel and accommodation for board members
  • Arranging, coordinating and supporting all internal and external meetings for the board
  • Attending meetings, minute taking and action taking during meetings
  • Producing documents, correspondence, briefing papers and presentations
  • Managing emails and various enquiries
  • Ability to prioritise activities and work to strict deadlines
  • Support the board members on any projects
  • Proofreading and basic checking documentation 
  • Providing general administrative support such as managing office supplies and equipment, answering phones, mailing, filing and photocopying of confidential information
  • Overseeing internal communications

 

The Ideal Candidate

  • Given the nature of the role it's critical you have experience of working within a comparable corporate environment
  • You'll need a real interest in media
  • You'll need a 'can do' attitude with a professional but friendly demeanour
  • Excellent organisation skills with the ability to prioritise and organise a heavy workload
  • Ability to establish and develop professional working relationships with our senior managers and their support teams
  • Proficient in the use of MS Office applications, Google and Gmail
  • Manages time-sensitive and confidential information while exercising tact, diplomacy and discretion in written and verbal communications
