Cutting edge, award winning University based in Greenwich recruiting an experienced graduate Executive Assistant to complete a fixed term contract until 31st December 2017. You will support two within the Executive team predominately the Director of External Relations. You will be pivotal in providing EA support along with assisting with the smooth running of strategic projects and events. Key duties:
- Extensive diary management.
- Arranging travel.
- Liaising with high profile internal and external stakeholders including industry leaders.
- Assisting with planning and coordinating internal and external events and exhibitions often with leaders within creative fields and overseas educational establishments.
- Implementing new systems to assist with efficiencies internally.
- Tracking reports, actions and deadlines.
- Work with the Executive team to managing project work flows to help members to analyse, coordinate and implement project plans both short and medium term.
- Drafting high level reports, abstracts, presentations and correspondence.
- Dealing with incoming correspondence and emails, auctioning as appropriate.
- Maintaining files and records.
- Assisting with confidential HR projects.
- Monitor budgets and provide statistical reports for the Executive Team.
- Arranging meetings, agenda setting, distributing papers, circulating minutes and following up action points.
- Work with Executives to devise high level databases to manage key stakeholder information.
Ideal candidate:
- Proactive able to add value and look to make improvements or look for new tasks to help the team work more efficiently.
- Able to deal with highly confidential information.
- Excellent written communication skills with strong proof reading/editing skills.
- Happy to complete classic PA duties (diaries, travel, organising meetings) but able to get a lot more involved in projects the University is running by assisting the Executive team.
- Strong MS Office skills, I.T. savvy e.g. able to develop a database to track information. Experience of using Gmail which is the internet system used, if not training can be given but would be useful.
- Graduate with strong academics ideally.
- Previous experience of working within education would be beneficial but not essential.
