Administrative Assistant, Medical Affairs and Compliance

 

Reports to: Senior Medical Director, UK and Ireland

Location: UK Head Office, Stockley Park, Uxbridge

Position Summary

The Administrative Assistant, Medical Affairs and Compliance will be responsible for supporting the  Senior Medical Director and all members of the medical department to ensure all necessary resources and activities are aligned to the needs of the team in a timely and efficient manner. In addition, the Administrative Assistant, Medical Affairs and Compliance will play a key role in supporting the UK Business Compliance activities including scheduling committee meetings and workshops, scheduling SOP training, partnering with Finance to coordinate sending out of annual transparency statements to healthcare professionals, managing compliance review of KOL engagements and other activities through Alexion on-line portals.

 

Principal Responsibilities

 Senior medical Director support

  • Provide executive assistant support to the  Senior Medical Director Leader including
    • To act as initial point of contact for  Senior Medical Director
    • Diary and appointment management including preparation of papers and information in advance of meetings
    • To prepare and draft correspondence as required
    • To carry out administrative tasks as required
    • Organise internal and external meetings and teleconferences, including booking venues and arranging travel and accommodation as required, including scientific advisory boards.
    • Liaison with external stakeholders, including Key Opinion Leaders on meetings, travel and logistics
    • Liaison with internal stakeholders visiting the UK medical department
    • Travel arrangements including organising itineraries and accommodation and expenses management
    • Producing reports by collecting information, carrying out specific projects and research as and when requested
    • Implementing and maintaining an efficient filing system for the Senior Medical Director
    • To work in collaboration with the Executive Assistant to the Managing Director UK and provide support and cover as required.

Associate Directors, Medical Affairs

  • Provide administrative support to Associate Directors, Medical Affairs.
  • Organise internal and external meetings and teleconferences, including booking venues and arranging travel and accommodation as required, including scientific advisory boards and educations meetings
  • Organise travel including itineraries and accommodation
  • Producing reports by collecting information as and when requested.

Medical Team

  • To carry out administrative tasks relating to organising external meetings and teleconferences, including booking venues and arranging travel and accommodation as required
  • Organise travel including itineraries and accommodation for international meetings

Team coordination/general tasks

  • Process and provide oversight to approvals within the UK approval systems for  compliance review of KOL engagements and other activities through Alexion on-line portals.
  • Provide support, in conjunction with other administrative staff, to UK Corporate Office phone call and other enquiry handlingMaintain records of all UK and Ireland healthcare professional engagements within the affiliate and through global and regional interactions, to facilitate compliance tracking and annual Transparency Declaration
  • Partner with Finance to develop Transparency Declaration process to ensure accurate tracking and notification of healthcare professionals of their annual Transfers of Value to meet ABPI timelines
  • Become local ‘super user’ for Zinc and HCP Engage portals
  • Act as secretary to UK Business Compliance Committee
  • Logistical support to team meetings and major events

 

Qualifications

  • Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook
  • Experience of business and personal support in a complex pharmaceutical environment
  • Strong understanding of ABPI Code of Practice and Compliance including Transparency
  • Flexibility to handle complex situations when they arise
  • Excellent administrative skills
  • Excellent calendar and time management skills
  • Experience in scheduling complex travel arrangements
  • Excellent interpersonal skills

 

Education

  • Ideally relevant professional qualification in business administration or secretarial support e.g. Pitmans or secretarial or business administration diploma
