Our client is one of the world’s leading fashion retail houses.  There International team manages the international franchise business to ensure that their international customers enjoy the same shopping experience as they would in the UK and to ensure that they drive profitability for the brand in International markets.

KEY RESPONSIBILITIES

  • Diary management- co-ordinating regular meetings with direct reports, Brand directors, Board members as well as prospective Franchise partners
  • Booking extensive & often complex multi sector flights for the International Director and the department, arranging visas, hotels & rail tickets
  • Coordinating International updates – creating PowerPoint presentations, sourcing conference venues & organising entertainment
  • Screening calls for the International Director
  • Liaising with the executive office
  • Checking & corresponding to e-mails on behalf of the International Director
  • Ad hoc Hotel & Rail travel for Franchise partners
  • First point of contact for the department
  • Meeting & greeting visitors – arranging refreshments, booking internal or external meeting rooms
  • Correspondence of all franchise enquires
  • Maintaining office systems - departmental holiday and absence records
  • Office Management -coordinating office moves & the upkeep of the office area
  • Maintaining & updating telephone & movement lists for the department
  • Raising & reconciling purchase orders through JDE system
  • Maintain and develop relationships with the brands
  • Ad hoc project work

SKILLS & EXPERIENCE

  • Solid PA experience
  • Excellent telephone manner
  • Bright, cheerful, flexible and confident approach
  • Ability to deal appropriately and network with people at various senior levels and with different types of personality
  • Highly trustworthy and discreet
  • Proactive and highly organised with ability to multi-task and work to tight deadlines
  • Attention to detail
  • Intermediate Word/PowerPoint/Excel skills and fluent with Lotus Notes
  • Proactively manage tasks, able to work on own initiative and think ahead
