A Legal Facilities Assistant is required to join this US Law Firm based in the City, your duties will include the following:

 

·Postal deliveries of internal and external mail, including courier deliveries.

 

·Phone and online courier booking.

 

·Regular sorting, distribution, delivery and collection of mail throughout the day.

 

·Franking of mail.

 

·Sending occasional faxes via MFD.

 

·Operational maintenance and first-line fault finding of franking machine.

 

·Providing good knowledge of cost effective time sensitive deliveries to staff.

 

·High volume photocopying, scanning and printing.

 

·Binding documents for internal and external use, including presentations.

 

·Provide first-line support for the maintenance of the photocopiers and printers.

 

·Organize toner changes for photocopiers and printers.

 

·Arrange photocopier Engineer call-outs when required.

 

·Organize what print work will be outsourced and what will stay in house in order to meet deadlines.

 

·Assist with the ordering of office stationery, printer and photocopier consumables, coffee machine consumables and gas cylinders for water machines.

 

·Ensure that Stationery Room is fully equipped.

 

·Ensure photocopy areas and secretarial workstations are fully stocked with paper.

 

·Provide New Joiners with a Stationery starter pack.

 

·Set up of meeting room furniture and reconfiguring of meeting rooms at the end of the meeting.

 

·Liaise with Security to advise them of new joiners, request security passes and ensure that the passes are added to the Cardax Security Systems.

 

·Liaise with Security to advise them of leavers and ensure security passes are returned.

 

·Assist the Facilities Manager with office set ups and clear Leavers offices ensuring they are ready for the next new joiner.

 

·Assist the Facilities Manager with Office moves, and to handle in his absence.

 

·Assist the Facilities Manager with invoice sign off, checking for accuracy and discrepancies.

 

·Assist the Facilities Manager with Projects and Planning.

 

·To liaise with IT in arranging any desk set up changes in line with the comfort of the user.

 

·General housekeeping duties, also being a point of contact for the Cleaners, including landlords Cleaners.

 

·Archiving boxes and files and boxes in our internal basement area.

 

·Arranging delivery and collection of confidential bins.

 

·Liaise with external vendors and contractors and submit permits and parking requests if required.

 

·Any other ad-hoc duties as required by Management or Partnership.

 

Ideal candidates must have the following:

 

·Educated to GCSE level or equivalent, including Maths and English.

 

·Intermediate knowledge of Microsoft Office systems.

 

·Relevant experience of working in a Facilities Department within a  law firm environment.

 

·Experience of office moves.

 

·Ability to work as part of a team and unsupervised;

 

·Attention to detail and the ability to work under pressure.

 

·Good communication skills, including communicating on all levels.

 

·A good problem solver.

 

·Applies common sense in all that they do.

 

·Certificated for work station assessments with H&S experience including Fire Marshall.

 

·Pro-actively looking at ways to improve the service.

 

·Flexibility as you may be required to work through your lunch hour or stay beyond your shift finish time and cover other shifts within the Department.
