PA and Brand Sales Coordinator

Role:

·To provide PA support to the General Manager, UK & EI

  • Oversee all aspects of Sales & Education Support to the Field in the  London office
  • To provide administrative support within the business

PA Support and Administration

  • Provide proactive and timely PA support to the General Manager, UK & EI including but not limited to: extensive diary management, preparation for key meetings, travel bookings including visas, transfers and accommodation, fielding telephone calls and handling as appropriate, preparation and distribution of documents required for meetings, preparation of presentations, preparation and submission of business expenses
  • Provide timely administrative support for the Field Management Team including but not limited to: arrange travel bookings including visas, transfers and accommodation, preparation and submission of business expenses, processing of purchase orders and overseeing timely payment within the agreed terms and other  ad-hoc administrative tasks
  • Organise Company Meetings including the Monthly Company Update and Weekly Focus Meetings, including the coordination and creation of the agenda in conjunction with the GM, timely collation of presentations, and management of the overall presentation at each meeting
  • Organise and project manage the annual Conference including but not limited to: sourcing the conference venue and delegate accommodation, managing the delegate list and invitations, oversee delegate travel arrangements, coordination and creation of the agenda in conjunction with the GM and key Stakeholders, timely collation of both business and delegate presentations, smooth running of the Conference
  • Coordinate and arrange all aspects of customer meetings including PowerPoint presentations, technical equipment and in-house catering
  • Organise all aspects of UK/EI Leadership Team meetings including publishing the agenda, collating and distributing meeting documentation, booking meeting rooms, catering etc.
  • Ensure the set up and smooth running of key business meetings.
  • Organisation of venues for offsite meetings and customer entertainment
  • Ensure the UK Calendar and Meeting Room calendars are kept up-to-date
  • Organise employee events such as the Christmas Party, in conjunction with other employees
  • Act as the local coordinator and point person for senior overseas The Company visitors. Book and handle their travel arrangements when in the UK, as required
  • Induction preparation for all new Directors including IT set up, email and calendars and diarizing all meetings within the induction plan

les Support

  • Build positive working relationships with the Managers & Field Team Members
  • Timely communication of reporting procedures & sales updates
  • Collating sales data as required, working with Marketing Team
  • Invoicing Education Courses, management of booking systems
  • Liaising directly with customers for Events/Meetings
  • Putting together Power Point Presentations for internal & external events
  • Act as the point of contact in relation to any Field incidents/Emergencies involving the team
  • Work in close collaboration with Finance to collate and oversee the annual budget including, Conferences, staff entertainment and off site meetings
  • Responsible for all purchase orders and purchasing decisions for Office Services
  • Responsible for The Company’s travel agent
  • The post holder will, from time to time, be required to carry out other duties provided they are within the general level of responsibility of the duties set out above and within the abilities of the post holder.

Education & Experience:             

  • Demonstrate prior in-depth experience of PA work at a senior level
  • Demonstrate the ability to project manage
  • Events management desirable
  • Educated to degree level or qualified by relevant experience

Skills:

  • Advanced PowerPoint and Excel skills
  • In-depth knowledge of Microsoft Outlook
  • An ability to think ahead and resolve issues ahead of time
  • Excellent project management skills
  • Numerate
