Executive Assistant - Global Investors
Role Purpose
We are looking for an EA to provide first class administrative support to several senior members within the GIP business. The ideal candidate will have gained experience within Financial Services or Real Estate and be able to build relationships at all levels. This position requires interaction with senior stakeholders so the successful candidate must be comfortable liaising with the senior officers of the wider CBRE business.
Key Responsibilities
• Forward planning and managing diaries for the Senior Managing Director/Chief Investment Officer and other GIP senior team members, this will include complex travel arrangement
• Management of the team assistants working for the investment teams in the UK
• Preparing reports or collating information for board/committee meetings and taking minutes when requested
• Co-ordination of the Investment Committee and Global Investment Team process
• Arranging meetings or calls and preparing meeting facilities and catering
• Maintaining organisational information and documents (org charts, contact lists, administrative templates and handbook etc)
• Typing, proofing, formatting and collating corporate presentations/reports
• Effectively handling all correspondence (distributing, responding, gatekeeping)
• Organising corporate or social events
• Maintaining information for directorships, committee memberships direct reports
• Assist with preparation and delivery of client conferences or events
• General business support to the wider team
• Processing expense claims for senior team members , liaising with the Finance Team as necessary
• Performing ad hoc projects
Person Specification/Requirements
• Exceptional organization skills
• Ability to form strong relationships and influence people
• Accurate and exceptional attention to detail
• Ability to prioritise and co-ordinate demands efficiently ensuring all deadlines are met
• Ability to build trust and maintain confidences
• Pro-active with proven experience of working under own initiative
• Minimum of 4 years’ experience in a similar role
• Advanced IT skills (Word, PowerPoint, Excel, MS Outlook)
• Excellent communication skills, both verbally and in writing
• Experience in supporting at board level for a global organisation is highly advantageous
