Top ten Accountancy firm based in the city seek a solid Team Secretary/Administrator to support the Assurance team in the following tasks: 
 

 
Responsibilities Day to day support for the assurance team bank and third party letters.
Complying monthly check lists, updating databases and using confirmation.com, following through requests and updating contact details, looking into queries on the system and responding accordingly.
Diary and meeting management
• Assist with booking internal/external meeting organisation and all related logistics
• Screening telephone calls on behalf of the team and relay accurate information to colleagues.
• Correspondence - general letters / engagement letters
Travel Management
• Set up conference calls
• To fully utilise the in house Sales Logix client relationship management system.
General administrative and project support
• Checking in detail work undertaken so that it is error free and ready for approval.
• Setting up new files/filing
• Assist with timesheets and expenses as required
• Photocopy/scan documents/printing for the team as and when required
• Arrange couriers/fax
• Responsible for providing students with lockers and ensuring hot desks are left tidy and paper free 
 
 
• Assist with post for the team, circulating mail items to the wider team
• Attend staff team meetings and training courses as required
• Helping out within the wider secretarial team as and when able to.
• Carry out any other duties as are within the scope, spirit and purpose of the job, the title of the role and its grading, as requested by the line manager or head of department
• Organising collections and cards for various occasions within the department eg birthdays, exam results, leavers/new joiners etc.
• Other ad hoc duties
Time and expense management
• Assistance with month end billing – mainly last week of the month. Raising credit notes and provisions using an in-house system. 
• Contact for all the overtime/toil forms for the students within the team, ensuring forms are available
• Responsible for providing students with lockers and ensuring hot desks are left tidy and paper free
• Assurance library - logging books and follow up of returns 
 
Ideal candidates must have the following:
• Copy typing speed of 50 + words per minute 
• Good working knowledge of all Microsoft packages, particularly Outlook, PowerPoint, Excel and Word. Able to use mail merge and databases with Microsoft.
