Personal Assistant and Manager

A global Lloyd's Underwriter, with impressive offices offering panoramic views of The City is seeking a Personal Assistant with a focus on Projects alongside managing a team of secretaries in an area of the business that accounts for over 50% of their revenue so is a key hire for 2015. Duties will include:

  • Scheduling meetings, preparing papers and ensuring that all relevant rooms are booked for senior management meetings
  • Taking all minutes for committee meetings which occur weekly, monthly and quarterly. Exposure to this is business critical so experience of minute taking at a very senior level would be invaluable to the team. Having your own style of taking minutes would be welcomed and training will be provided if required
  • Ensuring that all actions are followed up and relevant parties kept abreast of timelines
  • Providing diary management and acting as a gatekeeper to ensure that you leverage the time of senior project managers accordingly
  • Supporting with scheduling global and complex travel planning when required
  • Undertaking ad hoc tasks as requested by senior managers across the business who rely on your discretion and ability to work to tight deadlines
  • Mentoring a team of secretaries who work together and support their training and development in conjunction with HR; there are high standards within the team who are fully engaged and actively seeking a mentor
  • Ensuring that the workload is managed appropriately with an equal division of work and adequate cover within the team
  • Handling any issues within the team focusing on a positive resolution for all and taking into consideration different personalities and working styles
  • Delivering annual appraisals working in partnership with managers
  • Working with HR to recruit and mentor any new team members
  • Organising the annual 'away day' to support both the professional and personal development of the team
  • Sharing best practices and ideas across the team to ensure that processes are standardised to ensure efficiency and enhanced productivity

This is a unique position for someone who is mature in their approach to work and would relish the challenge of using their strong secretarial skills as well as being a manager and sounding board to a proactive team.

This Lloyd's Underwriter is interested in recruiting a Personal Assistant who has had significant exposure to projects and been culpable for deadlines and meeting follow ups. They are looking for someone who is open in their communication style, a good listener but mindful of imminent deadlines and can engage with all relevant parties to ensure deadlines are met.
