A global creative consultancy in Central London is looking to appoint a Team PA/Administrative Assistant to support four partners as well as proving ad-hoc support to the department as a whole.
Key PA duties:
- Travel and diary management for four Partners
- Prioritise the scheduling of meetings based on the Partners’ work, priorities and whereabouts
- Maintain and co-ordinate busy and changing diaries, schedule and confirm appointments - Proactively anticipate diary clashes and look for creative solutions where time is scarce
- Set up and co-ordinate conference calls, often across multiple time zones
- Arrange frequent & complex international/domestic travel and hotel arrangements
- Regular liaison with clients and their assistants
- Monitor in-box and action when appropriate
- Prepare and submit time sheets and expense claims
Department Administration duties:
- Keeping the office running: Go to person for office supplies and work shop materials
- Recruitment and new joiners- liaising with partners regarding recruitment enquiries and arranging interview times. Preparing for new hires and ensuring inductions are set up
- Team holiday and time tracking: updating our weekly tracker holiday plans, so the team has the information they need to plan and manage people’s time
- Events:: help organise team events such as lunches , seasonal parties, days out, birthdays
Key skills:
- Minimum 5 years of PA/Administrative Assistant experience supporting multiple partners
- University degree or equivalent level of work experience
- A proactive and “can-do” attitude
- Ability to thrive in a fast paced and demanding environment
- Ideally experience working within a creative environment
- Strong organisational skills and excellent attention to detail
- Ability to multitask and prioritise conflicting demands
- Excellent communication and interpersonal skills
- Proficiency in Word, PowerPoint and Excel
- A second language would be an advantage, as they are a multicultural team serving international client teams.
The role will be working alongside one other long standing PA and you will share the office duties. Looking for someone with an upbeat personality, someone who has supported a team, and is accustomed to bringing teams together. Needs to be a confident personality, someone who will make an impact and can be assertive when needed.
