A unique opportunity to work in a vibrant, buzzing sales office of this world-leading events and publishing company which targets the business services sector, based in West London.
Supporting a team of 7 high performing sales and project management professionals, you will be responsible for handling all the administration behind sales activity that takes place in the run-up to the 2-3 major global expos the team produce each year. (this team targets a global audience of over 700 international exhibitors and up to 35,000 delegates). Ability to travel twice a year is crucial.
This will include:
- Client data capture and marketing support using the CRM system (Salesforce - prior experience hugely advantageous)
- Planning and preparing all travel for the team, including visas and accommodation
- Production of team budget spreadsheets and sales reports using MS Excel
- Fielding queries (emails and calls) surrounding the 2-3 huge exhibitions run by this team internationally (Europe, Asia, Americas), These could be from existing clients/exhibitors or new potential leads.
- Expenses and credit card reconciliations for the team
- Ensuring new orders are entered into Salesforce and Excel ledgers correctly and ensuring the relevant parties have their instructions on next actions.
- Keeping the exhibition floorplans and sales ledgers up to date
- Creating PowerPoint presentations for the management team
- Assisting accounts with invoicing
- Creating client packs for exhibitions and liaising with publishing team regarding entries in the expo guides
- Production of contract paperwork in MS Word
- Attendance at the global shows to act as a runner/first-point of contact at the Expo desk
- Ad-hoc reception cover during lunchtimes or holiday period
Essential Skills/Experience
- Strong experience of working in administration, ideally in a sales environment (exhibitions / media sales or recruitment
- Experience of coordinating international travel
- Excellent knowledge of Word, Excel, PowerPoint
- Experience of working with Salesforce
- Good customer services experience
