One of the UK’s top-five, multi award winning media agencies is looking for cheerful, conscientious Hub Assistant to join an exciting three-part role supporting the UK and Worldwide teams. You will be working in a team of four, sharing completely complimentary and inter-changeable roles. This is a unique opportunity to work within one of the leaders of driving campaigns for the world’s greatest brands.

You will be expected to have the skills and aptitude to perform all of the tasks for which the Team Hub will be responsible.

These include:

Role 1 – Meeting Manager

  • Managing all room bookings, including organising hospitality and resource requirements for any UK staff who do not have a dedicated PA
  • Booking conference calls, ensuring all joining instructions are issued and any troubleshooting is resolved
  • Adding all guest to the ground floor visitor management system
  • Managing all taxi/train/plane and hotel bookings, issuing confirmations and managing no-shows/delays etc.
  • Ensure catering is ordered correctly to the number of conference/event attendees
  • Ad hoc tasks upon request of Managers

Role 2 – Agency Runner

  • Monitoring the aesthetics of the communal areas
  • Runner for new business or VIP client meetings; e.g. Researching/sourcing/collection of props etc.
  • Occasional refreshment run where clients have arrived unexpectedly and no room is available
  • Event support upon request by PA. e.g. acting as concierge for meetings where 20+ guests are expected – for example Ski trips and company-wide parties
  • Ordering gifts

Role 3 – Client Concierge

  • Ensure that up-to-date Wi-Fi details are available on reception and in communal areas
  • Review all reading material, ensuring current editions are available and replaced as required
  • Assist manage generic subscriptions, ensuring relevant reading material is available in the client lounge
  • Provide hands-on ‘remote’ assistance for clients based in the office for the day
  • Book, issue confirmation and troubleshoot conference calls
  • Offer/provide refreshments for clients
  • Troubleshoot IT connectivity and offer simple document production

The ideal Hub Team Assistant will have a natural ability to manage a volume of requests from multiple points of contact, be an unflappable, clear headed problem solver and have a cheerful, glass half full attitude.
