The role (in brief)

You should have experience in a professional services business, preferably within an Executive Search or senior recruitment firm. There are specifics to our business, and how it works, so we’re looking for someone who ideally already knows what they are.

This is a very fast paced role so you will need to be adaptable and calm under pressure. Your attention to detail and ability to prioritise, edit and communicate effectively will be what we’re looking for.

Diary management is a key part of the role:

  • You will need to make a call on what goes into diaries, what can be moved, and what is physically possible on any given day.
  • You will need to demonstrate your desire and ability to get to know who is who, and more importantly, how to handle them with confidence and grace.

As our business grows, so do the demands to be in three places at once. Setting up meetings and calls, sometimes across different time zones, and organising travel plans will be part of your day.

Partner PA (the specifics)

Providing executive secretarial support to a group of Partners.  Ensuring that the service levels that underpin the firm’s commitment to our customers is mirrored in the delivery of exceptional service.

Diary Management

Arrange and co-ordinate meetings, both face to face and virtual, liaising with customers and candidates.

Maintain diaries daily; look ahead to check that all required resources including meeting rooms are booked, and that there is visibility of relevant data on diary entries.

Ensure that sufficient time is allotted for travel when processing meeting requests.

Always be aware of Partners whereabouts and able to advise in this regard as required.

Data management

Consistently produce work of a high standard that rarely requires correction; reputation for delivering quality work.

Understand the brand and produce appropriate customer documentation.

Ensure the integrity of data – updating Invenias (our internal CRM system) with relevant candidate information and Partner driven events.

Update Sharepoint (our internal CRM) and ensure effective knowledge sharing.

Training on internal processes will be provided.

Relationship Management

Ensure world class service delivery to both customers and candidates – supporting Partners in building key relationships.

Key contact internally for Partner teams and finance department

Ad hoc general administrative support – restaurant bookings, expenses etc.

Requirements:

  • Adept at managing multiple tasks whilst keeping track of own workload using a ‘to do’ list or similar. Will deal with competing requests in a confident and mature manner, weighing up urgency and deadlines to decide on priorities.
  • When faced with a new challenge will use initiative to work out the best way to do it, referring to colleagues to identify efficient solutions.
  • Has a flexible approach and is adaptable, is a team player, willing to contribute to the wider team. Mutually supportive of others and willing to help in different departments as required.
  • Is receptive to new ideas and remains focused during times of change and promotes change amongst team by own behaviour.
  • Present a professional appearance and attitude at all times as you may be required to meet and greet customers.
  • Discreet when handling confidential information.
  • Is confident with communication. Recognises that different people require different approaches and adjusts style appropriately.
  • Previous experience of providing secretarial services.
  • Intermediate/Advanced Word, Excel, PowerPoint and Outlook.
  • Strong command of spelling, punctuation and grammar.
