Overview:
A unique opportunity has arisen for someone interested in both the business and accounts functions of a multinational corporation. This role will report into the Finance Department (the group Business Analyst) and sit within a publishing business in the banking and capital markets newsroom. This is the perfect starter role for someone interested in developing a sound understanding of the interplay between finance functions and the front office of any business. This role will have confidential finance elements. The perfect candidate will have a keen eye for detail, have excellent time management and possess the discretion needed to handle department wide commissions and bonus information. In short be the sort of person who always keep their pens colour coded and their diary up to date!
Responsibilities:
Receipt and processing of bookings from all salespeople
Creation and maintenance of ad lists for each month - ensuring amount, currency, salesperson and positioning are correct at all times
Inputting all booking data onto adDEPOT
Producing outgoing invoices from adDEPOT
Sending copies of publications to clients with outgoing invoices
Providing accounts with a marked-up copy of all publications each month
Updating forward sales excel spreadsheet with details of new sales made
Assisting Credit Control with their queries - sending them sales sheets and confirmations, raising credit notes and re-issuing invoices when required in line with group policy
Liaising with Sales and Credit Control about complex invoicing issues
Assisting Management Accountants with queries about sales and invoices
Keeping all salespeople/Editors/Production and Accounts up to date with the latest ad sales lists and figures
Liaising with Sales and Production regularly to ensure the revenue sheet is updated with correct publication dates so that everything is being invoiced at the correct times (particularly important at key points in the year so all revenue is correctly recognised)
Regular contact with all salespeople on deadlines, press dates, adverts expected (particularly close to press dates)
Troubleshooting any potential issues with bookings
Organisation and maintenance of all booking forms, filed as both hard and soft copies
Raising and processing of invoices and any credit notes for publications, online, logo and data sales
Sending out of all invoices with voucher magazine copies, and dealing with any invoicing issues either from the advertiser or credit control
Regular upkeep of adDEPOT, including contact details, product codes, magazine issues and changes in bookings
Organisation and filing of all monthly invoices, credit notes and replacement invoices, and all advertising material archives
Providing sales reports from adDEPOT and researching sales information for salespeople when requested
Sending out bonus and commissions. Keeping records of staff commissions up to date.
Uploading incoming invoices onto Concur and inputting invoice data correctly
Liaising with suppliers and freelancers to receive their invoices and update them on payment progress.
Providing ad hoc admin support for sales and other member of senior staff as required.
As the role progresses, help the head of department forecast sales and revenues.

Must have previous administrative or accounting experience and intermediate Excel.
The ideal candidate would be reliable, conscientious, have a good eye for detail with a logical and methodical approach to working and a positive attitude.
Should be able to maintain a high standard of accuracy under pressure, able to prioritise workload effectively and have good time management skills.
Qualifications:
Must have previous administrative or accounting experience
Intermediate excel
Competence in Concur and adDEPOT an advantage
The ideal candidate would be reliable, conscientious, have a good eye for detail with a logical and methodical approach to working and a positive attitude.
Should be able to maintain a high standard of accuracy under pressure, able to prioritise workload effectively and have good time management skills.
