Dynamic Boutique Investment House based in Central London is looking for a highly motivated, enthusiastic Office Manager/Executive Assistant. The role will involve contact at all levels, both with clients, vendors and liaising with the Danish Office. The right candidate will be entrepreneurial in spirit and able to take the initiative to get things done.
The role will involve travel to their European offices.
The opportunity will be busy and diverse the ideal candidate should be able to demonstrate they have worked in a boutique environment and worked in a dual capacity of PA/Office manager.
Duties:
EA support to the CEO
Diary Management and travel booking
Administer email/correspondence
Manage and answer phones
Liaising with staff, suppliers and clients
Implement, manage and maintain room booking system
Organise events and client meetings
Look after post and invoices
Maintaining presentations
General administrative support to the Team
Upkeep of IT facilities, fixed line phone and mobile phone contract
Facilities Management inc liaison with landlord and Building Manager, Cleaners and maintaining the condition of the office and arranging for necessary repairs
Organising the office layout and maintaining supplies of stationery and equipment.
Ensure effective communication with a variety of vendors, consultants and lawyers, regulatory authorities
Implementing and managing filing systems, archiving
Oversight and maintenance of office budget
Expenses processing and payment routines
Reviewing and implementing the company's health and safety policy
Keeping the office running smoothly / facilities management
Printing and preparing for meetings
Implementing and promoting equality and diversity policy
Organising induction programmes for new employees
Candidates must have excellent IT skills and a can do manner - must be able to show evidence of having worked in a boutique finance house in a dual capacity of PA/Office Management.
