Our client are an Asset Management company based in the City. They are looking for a well presented and professional Receptionist/Administrator to join their small team. This is a new position to provide support to the Office Manager. This is initially a 6 month temp position with the view to progress into a permanent position or the right candidate.

The position will be based on Reception and provide a range of Reception and Administrative duties. The hours are 8am – 5pm however you will be expected to be in early to set up for 8am meetings.

Responsibilities include:

  • Reception based, answering all incoming calls to a busy phone line, meeting and greeting visitors and directing to the appropriate person
  • Liaising with downstairs reception regarding visitors and all deliveries
  • Routing incoming and outgoing mail, distributing mail and other materials to employees
  • Ensuring the meeting calendar is up to date at all times, printing out daily meeting plane and ensuring all requirements are met including catering, presentations & handouts
  • Ensuring the meeting room is always neat and tidy, setting up before meetings and clearing away after woods. When meetings start at 8am, you will be expected to come in early to set up beforehand, also to stay and clear away meetings finishing after 5pm
  • Ordering office supplies, including kitchen supplies, stationery and supplies for meetings
  • Liaising with building management regarding facilities, building maintenance and security issues. Including, visitor lists, alarms and lights, parking and cleaning
  • Printing and binding all marketing and preparation materials for European and Middle East meetings
  • Shipping marketing materials to Europe and Middle East as required
  • Performing any other administrative duties as and when required

They are looking for a professional, friendly and approachable administrator with fantastic organisational skills. You must be flexible and reliable with impeccable time keeping.

Other requirements include:

  • Previous reception and administrative experience
  • Ability to communicate confidently with staff at all levels
  • Proficient in MS Office including Outlook
  • Professional appearance
  • Strong attention to detail
  • Excellent written and verbal communication skills
  • Ability to work on own initiative
  • Strong ability to multi-task and work well under pressure
  • Mature in your working attitude
