Providing ad-hoc administrative support to the Business Support team which consists of
4 secretaries supporting a manager and their team and 1 Head of Department secretary.


Duties will include:
? Collecting and distributing post
? Collating management information
? Providing an efficient and effective document management service
? Maintaining departmental organograms
? Liaising with staff to ensure systems and procedures are being followed and maintain logs
? Arranging travel, accommodation, couriers etc
? Photocopying, scanning and printing documents
? “Burning” CDs
? Desk booking using electronic system
? Dealing with enquiries and taking telephone messages
? Arranging meetings, booking venues and preparing papers
? Typing, including audio typing of interview transcripts (training will be provided)
? Preparing e-forms for new starters, joiners and leavers
? Generally assisting the Business Support team to provide a high level of support
? Developing good working relationships within the Group and across the Division
? Becoming a key member of the Business Support team and the wider department.


Which Essential & Desirable skills are required?
Essential
Technical capabilities
? Excellent spelling and grammar
? Typing speed of 30wpm
? Experience of using MS Outlook and Word, Excel and PowerPoint

Group
? Possesses a motivated, "can do" attitude with the ability to pre-empt problems and suggest effective solutions
