Leading Global Private Equity Investment Firm based in the City is looking for an experienced Team Assistant to join their exciting & fast paced team.
Responsibilities:
Complex Diary Management this will include Senior Members of Staff, Partners & Visitors from other Branches working across multiple time zones
Screening incoming correspondence & identify any issues for action or distribute to the correct Team Member
Compile & proof read correspondence, documents, publications, reports & presentations in a timely & accurate manner
Travel booking & accommodation arrangements (International & Domestic)
Prepare documents for meetings & presentations
Provide administrative support to all members of the Team & other departments when required
Booking of meetings
Managing email correspondence & items of work for absent members of the team
Organise & update the filing systems for the departments
Manage & maintain the electronic & paper filing systems to ensure the Team has easy access to the information required
Attend to incoming phone calls & enquires for the team & assist when appropriate or ensure that the enquiry received a response from the correct team member
Ensure that all correspondence is handled in a confidential & sensitive manner
Manage & update the document templates ensuring they are inline with compliance at all times
Update & manage the CRM system & report any issues to IT or the relevant department if need be
Organise & coordinate meetings & events as directed by the team including the venue & the catering.
Ensure that all documentation for these events & meetings are available
Ensure that the attendance of the events has been confirmed & if any changes need to be made do so in a timely manner
Provide buddy cover when other team members are not available or absent
Process & manage expenses & invoices
Proficient using Concur, Excel & PowerPoint
We are looking for a Team Assistant who has a solid background working within Financial Services. (3+ Years) You must be proactive, have excellent communication skills, able to work under pressure, be target & deadline driven.
