Temp to Perm Receptionist/Administrator Must have DBS £11-12ph

Purpose of the post: to provide reception and administrative support and facilitate in the effective running of the school.

ROLES AND RESPONSIBILITIES

 

To operate a Reception Service that promotes a professional image of the school at all times.

Duties to include:

  • To provide the school with a first point of contact for all visitors and students
  • Processing of telephone calls and ensuring the appropriate action is taken
  • Operating standard office equipment e.g. the school's electronic communication system (texting/e-mail etc), franking machine, photocopier, cashless catering, the school tannoy system, fax machine etc.
  • Ensuring that face to face enquiries from visitors, parents, staff and students are dealt with appropriately.
  • Provide general administrative support
  • To undertake school First Aid for students and staff, contact parents and reporting all accidents on the Online system.
  • To monitor weekly and order stationery and staffroom tea/coffee sundries, cashless catering cards and lanyards as well as medical supplies as required.
  • To maintain Midday Meal Supervisor folders on a termly basis.
  • To prepare and maintain all staff signing in and out sheets during the school holidays.
  • To monitor the use of cashless catering cards by students at lunchtime and follow up with detention letters where necessary.
  • To provide administration support for School events.
  • To support the Data Manager and Office Manager in maintaining high quality systems for manipulating student level data.
  • To set and maintain Excel spreadsheets to support Intervention mapping and other systems arising from the work of the school.
  • To deputise for the Attendance Officer when required.


PERSON SPECIFICATION (Skills, experience, knowledge etc required to fulfil the post). The post requires the following qualities:

  • One year's reception/administrative experience is ideal
  • DBS taken out within the last year
  • Able to communicate well with people at all levels by telephone, face to face and in writing
  • To be able to operate a switchboard.
  • Good organisational skills, operate diary systems, able to plan and manage own time effectively and work on own initiative as well as part of a team.
