THE CLIENT :

Our client who is an international law firm based in the heart of the City of London are looking to recruit a Senior Receptionist to cover the late shift 13:00PM – 21:00PM.

THE ROLE:
Management support duties
  • To act as deputy for the Hospitality Manager in their  absence
  • To take a senior role within the hospitality team on a daily basis, to be available to assist with queries, complaints or concerns
  • To ensure the smooth running of reception, ensuring adequate cover at all times, ensuring that group and individual tasks are performed.
  • Have an understanding and working knowledge of the technology within the meeting rooms on floors 1 and 12
  • Liaise with AV & IT departments to resolve any meeting room related technology problems that may arise. Compile regular management information reports
  • Liaise with facilities helpdesk on immediate and emergency maintenance issues, ensuring any problems are dealt with, escalating appropriately.
  • To act as Deputy Chief Fire Marshall for the building when on duty and to assume the role of Chief Fire Marshall when the Chief Fire Marshall is out of the office.
  • Ensure on the job training in accordance with the departmental standards is provided and to maintain a record of progress for each staff member.
  • Provide input for probation and formal performance appraisal discussions in line with firm's guidelines.
  • Be familiar with basic Health and Safety requirements, including first aid and fire and emergency procedures. 
  • Ensure Basic Rota planning is completed, including  lunch covers, last minute changes and specific cover requests
  • To record overtime and approve overtime sheets
  • To carry out "New starters" inductions when required.
  • To identify any performance issues to the Hospitality Manager and assist in working to resolve

Reception and Hospitality duties

  • To meet, greet Clients and Visitors, to inform relevant parties of their arrival. To escort Clients (internal/external) to their meeting rooms, take their coats, umbrella, briefcase, etc.
  • To ensure clients needs are anticipated and met at all times and pro-actively seek out ways in which to improve client satisfaction.
  • Check the conference room bookings and liaise with relevant internal teams regarding extra services further than standard refreshments.  This will be catering, AV assistance, and furniture layout. Ensure rooms are clean, tidy and stocked with stationery and other equipment missing or damaged.
  • Booking/managing meeting rooms in Asure  System
  • Working with the events team to ensure a seamless, professional  experience is provided to all guests attending functions and events.
  • To assist clients with basic laptop and PC connections, internet and wi-fi connections. 

Team working:

  • Willingness to share best practice knowledge and experience is a key success factor.
  • Ability to provide direction to the Reception team.
  •  Must be willing to work as part of a team
