Purpose of the role

To support the Country Policy Officer and Policy Officer roles, by providing secretarial and administrative services for the promotion and protection of the interests of members and service users in Wales.

JOB SUMMARY:

Main duties and responsibilities:-

Office Administration

Administer office including:

• Photocopying
• Diary Management
• Undertake any relevant actions as required in a timely manner
• Order stationery and equipment, ensuring any expenditure is approved and managed appropriately
• Organise IT support and other general office facilities and services and any maintenance or repair work required in the office
• Execute bulk mailings
• Collect and collate information to facilitate the work of the CPO (Wales) and PO in dealing with issues and enquires.
• Manage all incoming post
• Respond to routine correspondence as necessary
• Manage incoming e-mails
• Make travel and accommodation arrangements
• Organise meeting dates, venues, audio visual equipment, catering expenses payment etc., including checking, confirming attendance, distribution of notices, expense forms, etc.
• Prepare agendas and take minutes at meetings
• Type up meeting notes, minutes, flip charts, etc.
• Attend meeting with CPO/PO to provide secretariat support/policy assistance
• Develop, organise

The ideal candidate

• At least two years experience of providing personal assistance/support and/or of carrying out a good number of duties listed
• RSA shorthand of 60 words per minute
• Experience in the use of Microsoft Word, Powerpoint, Excel, Access
