Widely acknowledged as a leading global presence, a highly prestigious US law firm currently has an exciting new opportunity for an experienced Office Manager to provide vision, leadership and management to their Dubai office.
The Office Manager will oversee administration and human resources for the Dubai office and will be responsible for the business management of the office and implementation of the business aspects of the firm's operations in Dubai. The Office Manager will be responsible for establishing and maintaining cohesive and collegial overall management of the office and its administration in coordination with the entire firm.
This is a varied and busy role and areas of responsibility include; human resources, payroll, accounting, facilities, information technology services, secretarial management, operations, library, records management and security. The Office Manager will support a community of lawyers and staff in addressing time-sensitive client needs and ongoing firm management systems. The Office Manager will work with closely the global senior management team to define office policies, plans and budgets that are in accordance with the firm's overall policies, plans and budgets.
Duties are varied and will include but will not be limited to:
- Liaising with landlords, banks, government agencies, professional associations, vendors and similar groups
- Accounting & Finance; working with the CFO ensuring that accounting controls, procedures and training programs are in place, preparing budgets and financial forecasts
- Compliance; ensuring compliance with all firm-wide and office-wide policies and procedures including general operations, compensation, training, equal employment opportunity, harassment, workplace safety and other local governmental regulations
- Human Resources; mange payroll, oversee recruitment, retention, evaluation, assignment, training and salary administration of all legal and administrative staff
- Events; oversight and organization of office events
- Technology Services; work with the CIO and IT Manager to ensure efficient performance
- Records Management
- Security; ensuring that the workplace is secure and that visitors and vendors are properly welcomed and escorted through the office
- Facilities; oversee the location, planning, equipping and maintenance of suitable office facilities (including space, leasehold improvements, furniture, fixtures and equipment). Supervise and work with architects or consultants as required and develop key business relationships with building management
The successful Office Manager will have in depth HR experience in overseeing all aspects of personnel management and will have had previous experience administering budgets and controls. Degree level education is essential as are excellent communication and presentation skills, as well as strong organisational and project management skills. Fluent spoken and written English is essential and Arabic language skills are desirable but not essential.
Extensive experience as a Manager is required, preferably from within the legal industry or alternatively from a professional services background. Personality fit is key to this role and the Office Manager must have the ability to function in a collaborative and collegial environment; sensitive to others; high integrity and intelligence; excellent judgment; a conceptual thinker (strategic as well as pragmatic); and an ability to generate trust and build alliances with co-workers.
