PA to CEO and Chairman

A leading advertising agency requires an experienced PA to support their CEO and Chairman.

Key Responsibilities

• Extensive diary management, being proactive and using initiative to change dates/times/rooms if needed
• Full inbox management, flagging urgent e-mails and dealing with e-mails as necessary
• Pro-actively coordinating, preparing for and following up on all recurring meetings e.g. monthly board meetings
• Building professional relationships with clients (and their assistants) to enable informed awareness of levels of importance/priority when dealing with diaries, calls and correspondence
• Liaising with senior-level clients and contacts in Chairman and CEO's absence, acting as the representative for all calls and visitors to the office, accepting/redirecting calls where necessary
• Taking efficient messages, returning calls where necessary/appropriate
• Occasionally attending meetings and taking minutes
• Booking international travel
• Expenses
• Arranging social events
• Some personal work

Skills and Experience

• Experience as a senior PA is essential, ideally within a marketing agency / creative department
• Ability to make decisions on conflicting priorities
• An excellent listener with common sense
• Confident and be able to push back on the rest of the business
• Personable and not afraid to "muck in" where required
• Confident with all Microsoft Office applications, particularly PowerPoint
• Excellent attention to detail
• Experience of dealing with confidential information is essential
• Excellent communication skills both verbal and written
