Executive Assistant
Up to £35k per annum
Full Time Position - Monday to Friday 9.30 to 5.30pm

We are a small property management and concierge services company for a HNW family looking for an Executive Assistant to support The Client Director and manage the two Junior Personal Assistants. This role is a physical, demanding and hands on role based in and out of the office.
This is an incredible opportunity for someone who is well presented, logical, bright, has excellent organisational skills and high standards of professionalism. The successful candidate will be polite, personable, hardworking, conscientious and have a no nonsense approach.
We require someone with 2 years’ experience in a similar role.
Key Executive Assistant Responsibilities:
- Internet researches holidays, jets, lifestyle enquiries
- Bookings for the family: restaurants, doctors, theatre. Reconfirming appointments
- Booking holidays/hotels/flights
- Researching and shopping on behalf of the family/Client Director
- Managing tasks / projects and the rest of the team
- Couriering packages and documents abroad
- Keeping meticulous records
- Excellent written and oral communication with the family / suppliers / medical personal / contractors
- General office duties. Keeping all databases and information up to date
Property Responsibilities:
- Property checks of all properties at least once a week to ensure all items in the house working. We manage 2 houses and 2 flats in London, 1 house in Surrey and a large estate in Buckinghamshire with live in and out staff. (overseeing the staff: cleaners, chef, gardeners and handyman, refurbishments)
- Supervising cleaners work and other trades. Reporting back on progress/problems.
- Creating job lists for cleaners/handymen. Checking lists once completed
- Purchasing items/replenishing stock at properties: hand soap, tissues, water, hangers etc
- Preparing properties for guests arrival: food shopping, arranging flowers, fruit baskets
- Obtaining quotes for works: redecoration/roof repairs
- Property insurances: ensuring correct level of cover and comparing quotes from brokers
- Cars: arranging MOTs/services/congestion charge and parking permits for around 15 cars
Experience and knowledge in lifestyle, property and fashion would be advantageous.
