Working 9.30am to 5.30pm with a highly prestigious City law firm, this role is working with senior individuals and requires a senior level PA/ secretary with excellent residential property experience along with good client liaison skills and superb IT skills including a typing speed of 70wpm. Event and project management skills would be highly desirable.

Supporting 2 people, one being the Head of Department, main duties will include:

•   Time and diary management:  managing professional, personal and industry commitments through diary/inbox/outbox, gate keeping visitors/callers, managing all communications, sourcing project status updates, obtaining sign-offs and approvals, utilising telephony, BlackBerry/Citrix access to personally monitor issues and projects outside of core office hours 

•    Forward planning: organising/re-organising meetings, arranging WebEx announcements, video conferences/Telepresence across multiple jurisdictions/time zones, co-ordinating global multi-stop travel, visa processing, hotels, producing detailed itineraries, supplementary travel packs, contingency planning

•     Document production of correspondence, reports, emails, presentations, pitch documents, taking/distributing meeting minutes, collating bundles, indexing/paginating, troubleshooting desktop issues, utilising precedents/templates 

•      Approving holidays/overtime, monitoring quality of output and adherence to firm procedures and standards, absence management, inducting new starters to the department, liaising with other support teams including accounts, marketing, HR and IT.

•       Financial control: preparation of financial reports, budgets and forecasts, processing payments (BACS, TT, cheque requests), raising PO’s, reconciliation of multi-currency expenses,  cost centre control, preparing bills, updating narratives, processing write offs/credit notes
