Our client a world-renowned Arts Centre requires a PA to the Director of the Gallery to start ASAP. This is a six week temporary position until they find someone permanently. You need to be immediately available!
The main duties are:
- Proactive diary and inbox management
- Fielding phone calls
- Making travel arrangements
- Drafting correspondence to general enquiries
- Organise and prepare meetings, room bookings, creating presentations and taking minutes as required.
- Maintain the department diary
- Make necessary arrangements for private views, dinners and public events
- Meet and greet external visitors and arrange catering facilities or refreshments as necessary
- Undertake research
- Maintain exhibition presentations and provide administrative support on exhibitions
- Work closely with the Development team on correspondence, communications and event planning relating to fundraising programmes
- Support the Director with all Marketing and Communications related activity
- Act as Fire Marshall for the Exhibitions team (training will be provided)
- Manage incoming and outgoing post
- Provide cover for the Administrator during any periods of annual leave, illness etc.
- Any other ad hoc duties as required
- Financial duties will include processing all travel and general expenses and raising purchase orders and invoices as required and manage the budge for any organised events in close collaboration with the General Manager.
You must have proven experience in providing PA and administrative support to a senior manager and have experience within the visual arts field, preferably with experience in organising exhibitions. You need to have excellent communications skills both spoken and written, is proactive, self-motivated and have experience in managing multiple priorities. You need to be organised, methodical with excellent attention to detail, able to remain calm under pressure, able to organise and prioritise a busy workload and have strong knowledge of all Microsoft packages.
