Responsibilities will include:

Coordinating meetings

Preparing board and Exco packs

Minute Taking

Organising and managing meeting rooms

Diary Management

Travel arrangements including visa's and itineraries

Scanning, printing and binding

Diary Management

Reception duties

Liaising with suppliers

Liaising with international suppliers

Ordering stationary and business cards

Organising couriers

Creating document templates and drafting letters

Formatting and occasionally creating presentations and documents

Maintaining and reporting petty cash, credit card accounts and expenses

Main point of contact for IT Support

Organising new employee induction packs, IT Equipment, logins, phones and access to network

Managing IP Phone configurations

Writing press releases/news updates for the website

Assisting in marketing, updating the website and company brochures

Candidate Specification:

Preferably degree educated

Knowledge of or great understanding of the insurance industry

Being able to speak a second language, ideally Portuguese
