Our client, a residential property firm are looking for a Team Assistant to join their team on a permanent basis. You will be providing front of house management, office administration, corporate projects and providing administrative support to the Chief Executive's Office.

Responsibilities:

  • Ensuring the smooth running of the front of house operation including welcoming visitors and answering or referring inquiries
  • Ensuring all meeting rooms are set up in a timely manner for all meetings including catering
  • Assisting the executive assistant to the chief executive in ensuring that the office is kept clean and tidy, office supplies are ordered and supplies of all necessary items as well as equipment are maintained
  • Ensuring the office machines including the fax machine and photocopiers are stocked with paper and toner
  • Managing all incoming and outgoing post
  • Managing the company vehicle fleet including liaising with staff, leasing companies and car providers regarding the ordering, leasing and delivery of vehicles, replacement and hire cars
  • In the absence of the executive assistant to the chief executive, liaising with the landlord on the maintenance of the building and the office
  • Managing all fling both hard copy and electronic
  • Acting as the first point of contact for all enquiries when the chief executive is otherwise engaged or out of the office
  • Screening incoming calls and mails to the chief executive officer to help manage the workload including prioritising important correspondence, responding on their behalf and filtering junk mail
  • Providing complex diary management in both paper diary and Microsoft Outlook including setting up meetings and conference calls and ensuring all details are entered and up-to-date in calendars and liaising with third parties accordingly
  • Arranging and organising domestic and international travel logistics including flights, hotels, taxis, airport transfers and visa applications
  • Typing correspondence, minutes, reports and documentation in a confidential and professional manner
  • Providing assistance with presentations, including their preparation
  • Providing secretarial and support services to the chairman and other board members
  • Assisting the business executive by providing organisational support for staff training requirements
  • Organising meetings and training, when required
  • Providing administrative support to both the trust and associated charities
  • Organising and coordinating the employee volunteering programme
  • Assisting the executive assistant to the chief executive in the organisation and coordination of corporate entertainment and other events, whether internal or external, including the Christmas Party and other staff events as requested
