Our client, based in Central London, is a global real estate services provider. They have an opportunity for a Team Secretary to provide full secretarial support to the In Town Retail Team.
THE ROLE:

THE PERSON
The ideal candidate should be used to working in a fast paced environment, have excellent attention to detail and have a secretarial background. The candidate must be very organised, be able to take initiative and build a rapport with clients and the team. A self motivated individual, they will be able to demonstrate reliability, flexibility and initiative. The successful candidate must be computer literate to a high standard as well as possess strong numeracy skills.
The ideal candidate would be used to working with a team who at times will spend a majority of their time travelling and therefore out of the office. They should also be able to demonstrate the importance of dealing with clients and providing excellent customer service.

THE COMPANY:
Our client, based in Central London, is a global real estate services provider. They have an opportunity for a Team Secretary to provide full secretarial support to the In Town Retail Team.
THE ROLE:
Duties will include:
- Providing full administrative support to the In Town Retail team and working alongside the existing Team Secretary
- Daily management of Dynamics data including; raising invoices and fee share allocations
- Updating WIP schedules, ensuring CRM details are up to date at all times
- Diary management, including internal and external meetings, travel and hotel bookings when required
- Audio/copy typing/report writing and compiling
- Typing correspondence and reports including collating, printing and binding when required
- Ensure the department debtors list is monitored regularly
- Updating and/or producing fee sheets, spreadsheets, presentations, reports, pitches and correspondence
- Dealing directly with clients, over the telephone and taking messages
- Dealing directly with applicants over the telephone
- Sending out mail shots and property details to applicants as well as maintaining all relevant mailing lists
- Attend team meetings and take minutes if necessary
- Opening and distributing post
- Set up and maintain filing and archiving systems
- Organising client and staff entertainment for the Department if necessary
- Proof reading
- Schedule external support: eg printers, photographers, couriers, training etc.
- Maintain a high level of professionalism when dealing with clients and colleagues
- Ensure all holiday and other leave records are maintained in MyHR for the team
- Train new team members in MyHR
- Encourage team members to submit through MyHR all leave requests, travel loans and other online forms through MyHR.
- Encourage team members to keep all personal details in MyHR up to date
- Exercise confidentiality and discretion at all times

- Advanced Microsoft Office skills (incl. PowerPoint)
- Minimum of 65 wpm
- Experience of working across teams/departments
- Ability to work in a team and understand team dynamics
- Excellent organisational and co-ordination skills
- Excellent verbal and written communication skills
- Excellent numerical skills
- Excellent time management skills
- Ability to multitask and to work accurately and effectively under pressure
- Must understand the principles and practice of client care.
- Strong proof reading and attention to detail skills
