PA/Communications Assistant – FTSE 100

 

 

This amazing role is to provide full administrative and secretarial support to the Head of Corporate Communications and to support across all functions within the team.

 

 

 

PA duties will include:

  • Diary management for Head of Department including prioritisation, screening diary requests and forward planning
  • Ensure she is prepared and on time for all internal and external meetings.
  • Be the first point of contact for incoming journalist enquiries
  • Book travel, accommodation for the team as required.
  • Provide cover for other members of the Corporate Affairs & Sustainability administrative team during periods of annual leave, sickness etc

Communications support

  • Manage media monitoring service, collate press cuttings into daily executive summary for distribution to the Board.
  • Maintain media distribution lists, ensuring they are up to date
  • Update intranet with pre-approved content
  • Update social media platforms with pre-approved content from time to time as required
  • Arrange presentations, lunches / dinners and industry attended events
  • Support the team as required with the organisation and running of internal events

Finance

  • Regularly checking budgets against all incoming costs and highlighting issues where appropriate

Administrative support

  • Maintaining corporate communications team forward planner – ensuring team members provide the necessary information for circulation
  • Main point of contact for arranging and managing all meeting requests and meeting room bookings
  • Draft and format PowerPoint presentations as required

Experience and Skill Requirements

  • Secretarial experience working in a corporate environment
  • Ability to prioritise workload, use initiative and work independently
  • Ability to work under pressure
  • Advanced knowledge of Microsoft Outlook, Word, Excel and PowerPoint etc
  • Strong commitment to personal development, willing to learn new skills and embrace opportunity
  • Previous experience working in communications (agency or in-house) or dealing with deadline-driven stakeholders
  • Clear writing style
  • Understanding of a FTSE 100 environment
