International law firm based in the City is looking to recruit a new Personal Assistant to work with and provide high level support to the Managing Partner. The partner is energetic and works at a fast pace.  The role requires someone to manage his day to day activities and keep up with him at all times, anticipate his every need, second guess his thoughts and stay one step ahead.  Full involvement is guaranteed; you will need to organise his complex diary and travel arrangements including accommodation and produce detailed itineraries.  Business development/marketing experience is also desirable.  The role requires someone who will be an effective gatekeeper, someone who is proactive and who expects to be allowed to use their initiative, whilst correctly judging when to consult with the Partner, Executive Office Manager or other relevant colleagues.  Duties will include undertaking all personal matters, coordinating and arranging meetings and conference calls including room/venue booking, sending invites via Outlook being prepared to change plans at very short notice, oganising client meetings/lunches, complex diary management across time zones, coordinating travel and accommodation including preparing itineraries and arranging visas where necessary, processing and monitoring expenses (using our Chrome River application), preparing materials for meetings eg agendas, collating and circulating papers as appropriate – proof reading documents prior to distribution and managing communications as requested eg monitoring and managing partner's inbox responding to emails and postal mail, taking telephone messages/checking voicemail in Partner's absence and setting up telephone/video conferences – escalating priority issues accordingly.  Extremely high level of confidentiality and integrity. Able to act with tact and discretion.  Applicants need a flexible and adaptable attitude and thorough approach to work with the tenacity and strong execution skills to follow tasks/projects through to completion and/or positive resolution, the ability to organise and prioritise, be able to work on their own initiative using their instinct and intuition and strong planning and project management skills.  Applicants must have previous senior legal PA/EA experience and ideally have worked at board level.
