Purpose of the job
We are looking for a fantastically friendly, smiley receptionist for our new London office. You’ll be the first point of contact for visitors so will be key to creating a great welcoming environment for our team and visitors alike.

Reporting to the House Manager the receptionist role is covered by a team of two ensuring that the experience in the office is second to none for both our team and all visitors to the office. This is not your typical receptionist role as the team are very hands-on and support with everything from
maintaining the unique and vibrant office environment, which requires someone with strong inter-personal skills to liaise across all departments, to ensuring the Smart Energy GB team have all the food and fuel they need to get through a busy day. You will maintain a clean, clutter-free office to keep our creative heads clear and focused on the task at hand.


Key tasks / responsibilities

  • Meet and greet guests, giving them a great visitor experience
  • Manage meeting room bookings and associated refreshments and catering, both inhouse and externally
  • Be master of the AV in the meeting rooms, responsible for set up and troubleshooting
  • Keep the office clean, tidy and welcoming including the office kitchen and tea points
  • Manage phone calls, directing calls and passing on messages in a timely manner
  • General administrative support to all offices, including Cardiff and Edinburgh
  • Ensure contact lists are kept up to date
  • Collect, sort and distribute post; prepare post for collection
  • Arrange couriers and manage deliveries
  • Monitor and manage stock levels, from stationery to refreshments, throughout the day, restocking meeting spaces and placing orders as needed
  • Book travel and accommodation as required
  • Printing, binding, scanning services such as required
  • Manage printers, ensuring stocked with paper and jam-free
  • Be responsible for opening and closing the office space
  • Fire warden (training will be provided)
  • First aider (training will be provided)


Skills, experience and competencies


Essential

  • Experience in service-minded/ customer-facing role
  • Microsoft Office skills and general IT literacy (preferably Mac based)
  • Highly organised, professional and discreet
  • Attention to detail and ability to meet tight deadlines
  • Able to use initiative and prioritise issues
  • Able to communicate clearly and confidently, including liaising with senior figures
  • Able to manage light lifting duties (e.g. moving stationery boxes)
  • Excellent communication skills (verbal/writing)
  • Appreciation of the objectives and activities of Smart Energy GB
  • Appreciation for the diversity of the people and communities of Great Britain and embrace this diversity in your approach to work

Advantageous

  • Experience in an office-based environment
  • Energetic and enthusiastic approach
  • Experience working in a creative environment, for example, marketing or communications organisation
  • Understanding of audio-visual equipment
  • Experience of Box or other cloud-based file sharing solutions
