My client, an award wining consultancy have need for an Administrator to cover a 9 month maternity contract. This role is to provide proactive and professional administrative support (overall and with specific projects) to Consultants within the given location in addition to support to the wider admin team as required.

This is a unique opportunity as this company is a one of a kind, here you will gain exposure to a variety of different tasks that will build upon your experience!

The ideal candidate will have 6 - 12 months office experience, have a proactive nature and someone who is not scared to muck in!

  • Assisting with the preparation of proposals and expressions of interest
  • Using internal system GMS as required to create project reports
  • Using internal system Project Express to setup new projects and project extensions
  • Arranging meetings, booking meeting rooms and ordering lunches
  • Assisting the team with weekly timesheet entry
  • Occasional email and diary management for Consultants as required
  • Assisting with travel and accommodation needs for the team including VISAS as required
  • Setting up and co-ordination of all internal meetings, taking minutes and following up on actions
  • Typing, producing and amending specific project related documentation and correspondence (proposals, reports, letters, etc.)
  • Answering phones, taking clear messages and prioritising
  • Meeting, greeting and looking after visitors and clients as required
  • Supporting Project Accountants and Consultants with producing project related invoices, handling the process for corporate credit card returns, cash invoices and Consultant expenses, ensuring correct sign off of required documents and invoices etc
  • Managing both paper and electronic filing of project and proposal documentation in accordance with ISO standards
  • Data entry, maintaining Excel spreadsheets and amending PowerPoint presentations as required
  • Providing ad-hoc support to Partners and Project Managers regarding project coordination, research, tracking budgets etc
  • Liaison with external clients and contractors on a daily basis
  • Assisting Consultants with the completion of forward planning information
