We have an exciting, new, hands-on EA role supporting the inspirational Founder and CEO of a unique, leading digital executive search firm, trusted to build outstanding leadership teams for the world's most innovative companies. The role is paying £40,000-£55,000 DOE and is based in beautiful offices in Central London, overlooking the Thames.

Responsibilities:

  • High volume of diary management - reacting to an ever changing diary and dealing with last minute requests alongside an extremely busy inbox and LinkedIn mailbox. Our CEO receives on average 400 emails a day and your own inbox will reflect this so you will need to be highly competent at handling both.
  • Being able to arrange and prioritise meetings and make decisions on behalf of the CEO.
  • Managing the internal search database, including uploading CVs, interview and meeting notes, managing candidate and client profiles, search updates and other search related materials.
  • Responsible for all administrative needs of our CEO including meeting preparation/notes so she is fully briefed and prepared for every appointment. This will involve some desk research.
  • Coordinating all candidate and client interviews and meeting arrangements and any other search related activity.
  • Supporting the CEO with tracking the business development pipeline, coordinating all business development meetings plus follow-up to help in qualifying opportunities into live searches.
  • Coordinating, producing and proof-reading high quality client (and candidate) documentation and presentations with regards to business development, internal materials and search related deliverables.
  • Being the first point of contact for all clients and candidates; managing in-bound calls and emails.
  • Assisting with front-of-house, meeting & greeting the CEO's guests
  • Building out your own network amongst our clients, their EA's and our candidates.
  • Booking travel and accommodation for the CEO plus our clients and candidates.
  • Setting up conference calls and video conferences across multiple time zones.
  • When necessary, working with the office manager to ensure all of the CEO's operational needs are covered (e.g. IT, systems, etc.).
  • Some personal assistance will be involved when appropriate.
  • Working with the CFO to organise and prepare for monthly Board meetings, ensuring key stakeholders are in attendance, distributing papers and minute taking as appropriate.
  • Above all you must be able to manage your own as well as the CEO's time effectively by understanding our business and key clients.
  • Be a great business partner and key member of the team!

The successful candidate will:

  • Be ambitious, entrepreneurial, proactive and dynamic.
  • Have extensive experience of managing an extremely busy, back-to-back diary
  • Come from a professional services background and ideally have supported at C-Level before in a similar environment.
  • Have a professional mind-set, be used to juggling and prioritising/re-prioritising, working to very tight deadlines with absolutely no room for error.
  • Be smart and have good initiative along with the ability to think outside the box, be solutions-orientated, and able to turn around work quickly.
  • Be concise and straight to the point, highly discreet, able to deal with people confidently at all levels and have a high degree of computer literacy.
  • Have an interest in the digital space and be motivated by and passionate about managing and supporting our CEO.
