A global software company specialising in captioning services is looking for a Sales and Bookings Coordinator/Administrator. This will be a home based role and part time (24 hours per week) working Weds- Friday (9am-5.30pm). Ad-hoc travel to Morden offices.

Role purpose

  • Provide point of contact for all customer enquiries, providing timely response to all new and existing clients
  • Coordinate bookings with Captioners as well as the clients
  • Provide support to the Finance Administrator / Credit Controller
  • Ensure transcripts are provided in a timely manner as requested.
  • Pivotal to the sales cycle for both new and existing business in the UK and on an international basis.

Responsibilities:

  • Provide pivotal central point of contact for all revenue streams
  • Captioning: - Liaise with captioners, client, AV team to set up virtual captioning or onsite captioning for events, conferences, meetings, teleconference calls.
  • Check all parties have details required
  • Liaise with subtitlers and client to provide an end-product that meets client needs.
  • Liaise with lipreaders and clients such as newspapers & TV broadcasters
  • Training courses - Speak to trainers about a client request
  • Keeping all spreadsheets up to date – sales enquiries
  • Bookings - Collect info for bookings, set up virtual calls for client, quote correct rates
  • Manage bookings, quote correct sale prices, specific client requests
  • Manage stenographers, manage captioning platform, set rates, manage live captioning and subtitling bookings
  • Set up Skype accounts for clients and captioners.
  • New business sales - Research and add new contacts for sales consultant on ad hoc basis, manage researchers, manage sales campaigns
  • Marketing - Assist Director with marketing activities such as creating backlinks, ensuring blog posts are published regularly and manage advertisements
  • Ensure all preparation material for each event is sent to the relevant Captioner and is accessible.
  • Store and organise all information for large or complex events, using Drive and Dropbox where appropriate.
  • Oversee all admin for Booking requests - Send quotes to clients, draw up contracts and send to clients for signature, set up additional documents including event agreement, technical sheet, setting up checklist and sending on to the client.

Essential key skills and experience:

 

 

  • Experienced Bookings Coordinator / Sales Administrator – at least 3-5 years’ experience
  • Attention to detail (Essential)
  • Must be proactive: chase all client sales, respond to client queries, follow up on all outstanding general enquiries
  • Assertive, uses own initiative, can-do attitude
  • Capable of managing entire process from first enquiry to quote to booking to amending final invoice, ready for billing
  • Respond to all enquiries on the same day
  • Excellent written English skills
  • First class communication skills by phone and email
  • Customer / client service experience – must treat our clients & service providers well
  • Must have advanced IT skills in particular Excel
  • Previous experience of working with databases
  • Ability to work remotely and unsupervised, while still part of the team
