Executive Coordinator

This is the entry point to the business and represents an opportunity for you to experience both temporary and permanent recruitment before you launch your career within one of the teams in either discipline.

The main function for this position is to provide a support system to the relevant team to enable the placement of candidates. It is a critical position and in addition to the daily tasks you will receive a minimum of three hours training per week in all of the various disciplines that will be essential to your success.

Structure:

  • On rotation completing one month with temps team and one month with the perms team and final month with the Office Manager
  • At the end of the three month rotation you will interview with the team heads for a place within their team

Daily responsibilities:

  • Editing and proof reading Proposals, Adverts, Candidate Information
  • Handling advert responses - booking in candidates, updating RDB and relevant team members
  • Responding to telephone queries
  • Chasing potential candidates either to schedule internal or client interviews
  • Acknowledging, coding and uploading applicants to RDB
  • Coordinating interviews at each stage
  • Rejecting unsuccessful candidates and providing feedback
  • Coordinating the taking of references
  • Organising meetings with clients and collecting, collating and disseminate relevant materials internally and externally
  • Client and candidate relationship management from a project management perspective
  • Diary management
  • Assisting with marketing - social media, blogs, vlogs, seminars
  • Assisting with the coordination of events
  • Observing candidate interviews
  • Observing and contributing to internal meetings where appropriate
  • Assisting with the distribution of internal reports
  • Sourcing candidates as appropriate for specific searches

Ongoing Administration

  • Updating client and candidate testimonials
  • Dealing with incoming speculative candidates
  • Coordinating candidate registration meetings
  • Coordinating team meetings, writing agendas, taking & disseminating minutes
  • Following up on tasks discussed in meetings
  • Providing ad hoc support to research (e.g. conducting desk research, compiling candidate biographies, making follow up calls to interested search candidates)

Additional tasks

  • Streamlining presentation of documents
  • Ensuring copy is consistent
  • Managing consistency and usage of marketing
  • Writing adverts
  • Writing one blog per month
