My client who is a non for profit organisation, based in the West End is looking for an experienced PA to provide support to a Director and 3 senior managers within the finance department and to act as office manager to the department with specific responsibility for Health and Safety coordination and business continuity.
Working for a friendly, easy going department, this is a varied and involved role and the ideal person would have supported senior level individuals, with the ability to handle confidential material with discretion and being a gatekeeper with calls for senior management.
Duties will include:
- Diary management, organising room bookings and managing the in-box of the Chief Finance Officer, the Director of Finance Operations and the Head of Finance Policy & Planning to maximise their efficiency
- Screening incoming phone calls and ensuring enquiries are dealt with by the appropriate person
- Planning, organising and facilitating meetings involving external participants
- Role to include assembling and distributing papers, arranging catering and meeting follow up - some copy typing may be required.
- Leading for the department on Health & Safety issues including ensuring workplace assessments are carried out for new starters
- Acting as the contact point for business continuity issues
- Supporting the provision of good document management across the department (physical and electronic) ensuring the department is complying with data handling protocols.
- Managing the use of the charities' seals, liaising with other departments as necessary
- Ensuring that the leavers and joiners process is properly managed (forms completed, equipment provided, welcome and induction process is planned and so forth).
- Organising rooms bookings etc. for use by the external auditors and others as required
- Raising purchase orders on behalf of the department and being part of the workflow system within SAP
