My client is looking for a Team Administrator with proven experience to provide administrative and secretarial support to a team of 10 within the Corporate Services division. This will be an on-going temporary role with the potential to be extended.

Duties:

  • To provide administrative and secretarial support to members of the team, Chair, Deputy Chairs and Committee Members
  • To understand and become fully involved in the work of the team and team projects, ensuring the processes work effectively and key milestones are met
  • Provide administrative support to the team and committee members on case-specific issues
  • Proactive diary management, including arranging case meetings - rooms, refreshments, all logistical planning, etc
  • Management of team’s inbox, handling day-to-day communications with Enforcement/ Authorisations and external stakeholders
  • Accurate and quick typing and occasional audio-typing
  • Primary responsibility for organising and maintaining the team's filing systems – hard  copy and electronic record keeping, archiving, and updating divisional file lists
  • Opening post, updating divisional correspondence tracking systems and distributing appropriately to team members
  • Update and maintain team contact and distribution lists and meeting schedules
  • Primary responsibility for maintenance of the team’s sections of the website and intranet pages, ensuring, in particular, that committee members' details are kept up-to-date
  • Processing committee members’ expenses and fee claims through payroll
  • Production of MI reports on request by manager, ensuring they are accurate and complete
  • Maintenance of Administrator Process Guide under guidance from other team members

Skills, Experience and Qualifications:   

  • Proven IT skills, including Excel, Access, Word, Oracle
  • Team player with a proactive, flexible and willing approach
  • Excellent administration skills - organisational, time management, ability to arrange meetings, diary management etc
  • Good oral and written communication skills
  • Ability to develop and maintain effective relationships with stakeholders
