An International Advertising agency is looking for an experienced EA to mainly support the Group Chairman and providing adhoc support to the Chief Strategy Officer and Managing Director.
Key Skills/Attributes:
- Efficiency – maximising the Chairman’s time by preparing all necessary aspects of client, internal and marketing/development meetings.
- Preparation and Briefing – presenting accurate information as early as possible to ensure that the Chairman is always fully prepared and informed.
- Responsiveness – ensuring that all emails, calls and other forms of contact are acknowledged and responded to by the Chairman.
- Punctuality – communicating regularly and preparing meetings in advance so the Chairman is neither waiting for others nor late to arrive.
- Compassion and good-naturedness – offering support and guidance to the Chairman regarding congratulating clients and employees for good work, celebrating birthdays and other personal milestones, adding a personal touch to professional relationships.
- First point of contact for coordination of all diary entries – meetings/calls/events/ appointments, etc.
- Inputting of all meetings into the CSO’s and MD’s diaries using Outlook and re-confirmation of all arrangements, including restaurant bookings.
- Consistently and efficiently updating all diary entries, minute by minute, throughout working day.
- Pro-actively coordinating, preparing for and following up on all recurring meetings e.g. monthly board meetings.
- Preparing for all meetings – agendas, travel, directions etc.
- Planning complex travel itineraries, booking accommodation, taxis, trains and flights etc.
- Diary Management
- Preparing travel packs for overnight stays in the UK and internationally for the CSO and MD and any other staff that may be travelling with them.
- Meeting and greeting guests.
- Meeting room setup for all meetings.
